1. Introduction

 

Loganholme Cricket Club (the Club, we, us or our) is a community, not-for-profit sporting club based in Loganholme, Queensland, and affiliated with Queensland Cricket and Cricket Australia. We are committed to protecting the privacy of our members, players, volunteers, officials, spectators and other individuals who interact with the Club.

This Privacy Policy explains how we collect, hold, use and disclose personal information, and how you can access or correct your information, or make a complaint. It has been prepared in accordance with the Privacy Act 1988 (Cth) (Privacy Act) and the Australian Privacy Principles (APPs).

While many small not-for-profit organisations with an annual turnover of $3 million or less are exempt from the Privacy Act (the 'small business exemption'), the Club has adopted this policy as a matter of good governance and best practice, and because certain activities we undertake (for example, the collection of health information, or disclosure of information to affiliated bodies such as Queensland Cricket, Cricket Australia and MyCricket/PlayHQ) may mean the exemption does not apply to some or all of our handling of personal information. We treat all personal information in accordance with this policy regardless of whether the exemption technically applies.

By providing personal information to the Club, or by registering, volunteering, or otherwise participating in Club activities, you consent to the collection, use, storage and disclosure of your personal information as described in this policy.

2. Who this policy applies to

 

This policy applies to personal information we collect from:

  • Members, players and their parents/guardians (including junior and life members)

  • Committee members, coaches, team managers, officials, umpires and scorers

  • Volunteers and prospective volunteers

  • Sponsors, suppliers and contractors

  • Spectators, supporters and social media followers

  • Job applicants (for any paid roles, such as ground or bar staff)

  • Any other individual who provides personal information to the Club (for example, through our website, event registrations, or correspondence)
     

3. What personal information we collect

 

The type of personal information we collect depends on your relationship with the Club. It may include:

  • Name, date of birth, gender, and contact details (address, phone number, email)

  • Emergency contact details

  • Membership and registration details, including team, grade and playing history

  • Payment and billing details (for membership fees, merchandise, canteen or bar purchases) — note that full credit card details are processed by our third-party payment providers and are not retained by the Club

  • Working with Children Check numbers and other accreditation details (for coaches, officials and volunteers working with junior members)

  • Photographs, video footage and match statistics/results

  • Correspondence with the Club (emails, forms, complaints, incident reports)

  • Information submitted through our website, social media pages or online registration platforms (such as PlayHQ, MyCricket or GameDay)

 

3.1 Sensitive information

In limited circumstances we may collect sensitive information as defined under the Privacy Act, such as:

  • Health information (for example, medical conditions, allergies, injuries, disabilities or dietary requirements relevant to participation and safety, including concussion and injury management)

  • Information relevant to Working with Children Checks or National Police Checks for those in child-related roles

 

We only collect sensitive information where it is reasonably necessary for the safety of participants or to comply with our legal or sporting-body obligations, and, except where otherwise permitted by law, we will seek your consent (or a parent/guardian's consent for a junior member) before collecting it.

4. How we collect personal information

 

We usually collect personal information directly from you, including through:
 

  • Membership and player registration forms (online or paper-based, including via PlayHQ/MyCricket)

  • Volunteer and coaching accreditation applications

  • Our website, email correspondence, and social media pages

  • Event sign-ups, canteen/bar rosters, and sponsorship arrangements

  • In person, at training, matches, presentations and other Club events

 

Where a member is a child or young person, information is generally collected from, and with the consent of, a parent or guardian. Occasionally we may collect personal information about an individual from a third party — for example, from Queensland Cricket, Cricket Australia, an affiliated association, another club, or a parent/guardian/team manager acting on a member's behalf — where it is unreasonable or impracticable to collect it directly from the individual.

5. Why we collect, hold and use personal information

 

We collect, hold and use personal information for purposes reasonably necessary for our functions and activities as a community sporting club, including to:
 

  • Process and manage membership and player registrations

  • Organise teams, fixtures, training and grading

  • Communicate with members, parents/guardians, volunteers and officials about Club activities, results, events and news

  • Manage player welfare and safety, including responding to injuries, illness or emergencies

  • Meet our affiliation obligations to Queensland Cricket, Cricket Australia and relevant leagues/associations (for example, team lists, results and statistics)

  • Administer Working with Children Checks and other screening for those in child-related roles

  • Process payments for fees, merchandise, canteen and bar sales

  • Promote the Club, including through newsletters, our website and social media (for example, sharing match photos, results and achievements)

  • Manage sponsorships and acknowledge sponsors

  • Handle enquiries, feedback, complaints and disputes

  • Comply with our legal, insurance and reporting obligations

 

We will not use or disclose personal information for a purpose other than the purpose for which it was collected, unless you would reasonably expect us to use or disclose it for that other purpose, you have consented, or we are otherwise required or permitted by law.

6. Disclosure of personal information

 

We may disclose personal information to:
 

  • Queensland Cricket, Cricket Australia, and relevant leagues, associations or competition administrators (including via platforms such as PlayHQ or MyCricket), for registration, insurance, grading and results purposes

  • Other affiliated clubs, for example when organising fixtures

  • Our insurers, in relation to injury claims or public liability matters

  • Payment processors and IT service providers who assist us to operate the Club (for example, website hosting, membership database and email newsletter providers)

  • Government agencies or authorities, where required or authorised by law (for example, Working with Children Check verification, or in response to a medical emergency)

  • Local media, sponsors or the public, in the form of published results, team photos and achievements — generally only where consent has been given or the disclosure is reasonably expected

 

We do not sell personal information to third parties, and we do not disclose personal information to third parties for their own direct marketing purposes.

6.1 Overseas disclosure

Some of the online platforms and service providers we use (for example, cloud storage, email or membership management platforms such as PlayHQ, MyCricket, Mailchimp or similar) may store or process personal information on servers located outside Australia. Where personal information is disclosed overseas, we take reasonable steps to ensure the overseas recipient handles the information consistently with the APPs, in accordance with APP 8.

7. Direct marketing

 

We may use your contact details to send you information about Club news, events, fixtures, fundraising and sponsor offers. You may opt out of receiving direct marketing communications from us at any time by contacting us using the details in section 13, or by using the unsubscribe function in any email we send. We will not charge you for giving effect to an opt-out request.

8. Data quality and security

 

We take reasonable steps to ensure the personal information we collect, use and disclose is accurate, complete and up to date. We encourage members to notify us of any changes to their contact or emergency details.

We take reasonable steps to protect personal information we hold from misuse, interference, loss, and unauthorised access, modification or disclosure. These steps include:
 

  • Restricting access to membership and player records to committee members, coaches and officials who need it to perform their role

  • Using password-protected systems and, where available, secure online registration and payment platforms

  • Storing paper records (where used) in a secure location

  • Taking reasonable steps to destroy or de-identify personal information once it is no longer needed for any purpose for which it may be used or disclosed, unless we are required by law to retain it (for example, insurance or Working with Children Check records)

 

No method of electronic storage or transmission is completely secure. While we strive to protect personal information, we cannot guarantee its absolute security.

9. Access to and correction of personal information

 

You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. To make a request, please contact our Privacy Officer using the details in section 13.

 

We will respond to requests within a reasonable period. We may need to verify your identity before providing access, and in some circumstances permitted by the Privacy Act (for example, where the request is frivolous, or access would have an unreasonable impact on the privacy of others) we may deny access or correction, and if so, we will explain why. There is no charge for making a request; however, we may charge a reasonable fee to cover our costs in providing access.

For junior members, a parent or guardian may make an access or correction request on the child's behalf.

10. Children and young people's information

 

Many of our members are children and young people. Where we collect personal information about a junior member, we generally do so with the knowledge and consent of a parent or guardian, and we encourage parents/guardians to read this policy with their child.

We take particular care with information relevant to child safety, including Working with Children Check details for coaches, officials and volunteers, and we handle this information in accordance with our Child Safety and Member Protection policies as well as this Privacy Policy.

 

11. Website, cookies, social media and images

 

11.1 Website and cookies

Our website loganholmecricket.club may use cookies or similar technologies to improve functionality and understand how visitors use the site. You can adjust your browser settings to refuse cookies, though this may affect some website features. We may also collect standard technical information (such as IP address and browser type) through website analytics tools.

11.2 Social media

The Club maintains a presence on social media platforms (for example, Facebook and Instagram). Any information you provide through these platforms is also subject to the privacy policy of that platform. Please be mindful of the personal information you share in public posts or comments.

11.3 Photographs and video

We may take photographs and video at training, matches and Club events for use in newsletters, our website, social media, sponsor materials and Queensland Cricket/Cricket Australia promotional or statistical purposes. Where practicable, we will seek consent (or parent/guardian consent for junior members) before publishing identifiable images of children. If you do not wish to be photographed or filmed, or wish to withdraw consent for a previously used image, please contact us and we will take reasonable steps to accommodate your request.

12. Complaints

 

If you believe we have breached the Privacy Act or mishandled your personal information, please contact our Privacy Officer using the details below, providing as much detail as possible. We will investigate your complaint and aim to respond within a reasonable time (generally 30 days).
